Privacy policy

We are committed to protecting your privacy and complying with the General Data Protection Regulation (GDPR) in the United Kingdom. This Privacy Policy outlines how we collect, use, and store your personal information.

Information We Collect
   - We collect and store the following information when you join our club or enter our 10k race:
     - Full Name
     - Email Address

     - DOB 

     - Gender

- For club members that wish to also have EA affiliation we also have to collect a contact number, address and nationality (these data are optional for members that do not have EA affiliation). 

-Our 10k third party organisers may also store this and additional information such as emergency contact details, please refer to their privacy policies for how they use this information. 

How We Use Your Information
   - We use the collected information for the sole purpose of:
     - Contacting club members about club administration, activities and related events

     - Ensuring you are allocated to the correct race category based on age and gender

     - Notifying race participants about race related information and future races.

Data Retention
   - Members information will be retained for a maximum of 5 years unless you continue to renew your membership 
   - We hold names and email addresses of past race entrants in a mailing list until you unsubscribe from the mailing list. 

Security
   - We are committed to ensuring the security of your information. Your data is accessible only to authorised club personnel and is stored on a secure database.

Third-Party Disclosure
   - We do not sell or trade your personal information to external parties. 

- Members information is strictly used for club-related communications, but may be shared where required with other local clubs if you enter the 5k summer series or winter TVXC, to allow processing of race results. 

- If you entered our 10k via our third party partners they will also have your personal information, please refer to their privacy policies for how they may use and store your data. 

- In addition for EA affiliation the following applies: When you become a member of or renew your membership with Wargrave Runners you can also choose to be registered as a member of England Athletics. If you pay the additional EA affiliation fee to Wargrave Runners we will provide England Athletics with your personal data which they will use to enable access to an online portal for you (called myAthletics). England Athletics will contact you to invite you to sign into and update your MyAthletics portal (which, amongst other things, allows you to set and amend your privacy settings). If you have any questions about the continuing privacy of your personal data when it is shared with England Athletics, please contact dataprotection@englandathletics.org

 

Your Rights
   - You have the right to request access to the personal information we hold about you and to ask that your information be corrected, updated, or deleted.

Consent
   - By joining our club or entering our 10k race, you consent to the collection and use of your information as outlined in this Privacy Policy.
